Documents step by step

  • Official channels

The term “official channels” means that the document should be signed by the department head, then by the Institute director, and then by the Faculty dean. Only then can a document be sent to the rectory. In the case of a doctoral student, the document should also have the signature of the supervisor (scientific supervisor) and the doctoral studies supervisor.

 

  • Domestic business trips

In the case of a domestic trip, an employee does not have to submit a separate letter. If you have already signed a delegation (in the secretariat) and have it signed by the director, you already have permission to a national trip. The delegation should be returned within two weeks of the end of the business trip. It should be accompanied by all financial documents confirming its completion (train, bus, invoice for an overnight stay) that have been paid by the employee. In the case of invoices paid by bank transfer or by credit card, you must additionally attach a confirmation from the bank account. The delegation should also have a formal statement of your stay (stamp and signature of the inviting institution).

 

  • International business trips

  • Inviting international guests

  • Publications

Each employee’s (student’s, phD student’s) publications must be immediately added to the eGPS database and sent to the main library (either in paper form through Institute’s library or via email to bibliometria@umk.pl).

 

  • Grant proposals

Each grant proposal, before sending to rectory, should be registered by the Secretariat, signed by the Institute Director, and by the Faculty Dean.

 

  • Civil law agreements

Civil law agreements must be signed at the latest at the first day of work.Each agreement has to be registered by the Secretariat. In the case of commision work signed with people who are not NCU employees, the Secretariat has to be notified at least 10 days earlier in order to work out insurance details.

 

 

 

 

  • PhD procedure

 

  • Departmental internet account, eGPS database entry, website permissions

Setting up an account: the administrator of Internet accounts and e-mails for employees of the Institute of Physics, Department of Applied Computer Science and the Dean’s Office is dr hab. Jacek Kobus (tel. 3266). The employee’s account should be added to the appropriate group address (ifiz-l@fizyka.umk.pl – all employees of the Institute of Physics).

Your entry in EGPS: adding to the EGPS database is handled by the Institute  secretariat (data: first and last name, e-mail address, academic title, whether part-time or full-time employment, department, team to which the employee belongs, doctoral status, telephone number, room number, website address, information about consultations, information on the experimental / theoretical nature of scientific research, date of birth, date of first employment at NCU, date of doctor’s degree, position and functions). Entering the EGPS database will display the employee on the list of employees on the website and give the opportunity to enter all scientific achievements (http://www.fizyka.umk.pl/wfaiis/?q=node/16690). Any changes to any of the data stored in the egps database should be sent to the secretariat as soon as possible at the following address: monikac@fizyka.umk.pl.

Adding rights to the Faculty’s website: the employee is obliged to log in to the website of faculty websites and send information to: ig@fizyka.umk.pl and zelek@fizyka.umk.pl. Thanks to this, he will get the necessary permissions to use the website.

 

  • eGPS database

The obligation of each employee and doctoral student added to the eGPS database is its ongoing update. All problems related to the database or change of personal data should be reported via e-mail (egps@fizyka.umk.pl).

  • Pre-employment formalities

In addition to applying for employment along with all additional documents, please note the following:

  1. Clearance slip (“karta obiegowa”) – the clearance slip is issued by the Human Resources Department (“Dział Spraw Pracowniczych “). Before being hired, you must collect the necessary signatures on the clearance slip and then deliver it directly to the Human Resources Department or do it through the Institute secretariat.
  2. Medical examinations – before hiring, the administration department of the IF prepares a referral for medical examinations. They are carried out at the Academic Medical Clinic (Gagarina 39, 87-100 Toruń, tel .: 056-654-20-20, 056-611-46-58). The certificate should be submitted to the Institute secretariat.
  3. Health and safety training – pre-employment training should be conducted in the field of health and safety. Training takes place every Thursday in the building at ul. Asnyka 2a, 87-100 Toruń. The direct superior then conducts job training. The completed OHS training card should go to the IF secretariat.
